WHO WE’RE SEEKING

We are currently looking to hire a meticulous and experienced HR Administrator based in the Netherlands. This position demands someone who can own essential HR workflows, particularly around documentation and regulatory compliance. You’ll be a key contributor in delivering a smooth and professional experience for employees, spanning the entire employment lifecycle – from onboarding and payroll to relocation, contract updates and offboarding.

You’ll serve as a vital point of contact for team members in the Netherlands while liaising with third-party vendors, keeping abreast of Dutch labor legislation and ensuring full legal alignment. RESPONSIBILITIES YOU WILL HANDLE

In this role, you’ll work across several core areas of HR operations, primarily for our Dutch legal entity. Here’s what you can expect:

Managing HR Documentation

  • Draft and manage various HR-related documents including employment contracts, onboarding packets, contract amendments, relocation letters and exit documentation.
  • Handle all paperwork required for visa processes such as Highly Skilled Migrant applications, Blue Card submissions, ruling letters and letters of intent.
  • Maintain proper documentation for leaves of absence – whether vacation, sick leave, parental leave or other statutory types.
  • Perform regular audits of employee files to ensure compliance with GDPR and internal protocols.

Ensuring Compliance

  • Actively monitor changes to Dutch labor and immigration laws and update internal processes accordingly.
  • Maintain up-to-date and compliant records, aligning with government entities like the IND (Immigration and Naturalisation Service), Belastingdienst (Dutch tax authority), UWV (Employee Insurance Agency) and more.
  • Ensure all HR activities are in line with corporate policies and reflect the latest legal standards.

Hiring & Exit Coordination

  • Facilitate all administrative processes associated with hiring and terminating employees.
  • Collect necessary documentation, generate contracts organize background checks (if applicable) and manage offboarding paperwork and checklists.
  • Support immigration procedures by assembling required documentation for visa sponsorship and coordinating with external consultants or IND representatives.

Payroll & Compensation Support

  • Assist in gathering and verifying monthly payroll inputs such as sick leave, holidays, bonuses and expense reimbursements.
  • Ensure accurate and timely transfer of payroll-related data to external payroll providers.
  • Liaise with payroll partners to ensure payslips, tax filings and social security contributions are managed correctly.

Absence and Attendance Tracking

  • Oversee systems that track working hours, time off and sick days.
  • Coordinate with occupational health services (Arbodienst) to document and manage long-term absences in compliance with Dutch regulations.
  • Make sure leave balances are correct and that time-tracking tools are aligned with labor laws.

Employee Relations and Support

  • Act as the go-to HR representative for all employees based in the Netherlands.
  • Help clarify HR policies, interpret employment agreements and explain Dutch employment laws or statutory rights (e.g., procedures for sick leave, maternity/paternity policies, pension eligibility and 30% ruling benefits).
  • Be available to answer general HR-related queries and escalate complex cases where necessary.

Lifecycle Management

  • Support employees at each stage of their journey, from pre-boarding and onboarding to performance reviews, promotions and final exits.
  • Coordinate probation period assessments and handle the documentation associated with internal job changes or departmental moves.
  • Contribute to continuous improvement in employee satisfaction by streamlining lifecycle workflows.

Working with External Providers

  • Collaborate with service vendors such as payroll administrators, pension providers, immigration lawyers and tax consultants.
  • Ensure all partnerships are legally compliant, service-level agreements are met and that external instructions follow Dutch labor law.
  • Audit third-party services periodically to identify gaps or areas for improvement.

WHAT MAKES YOU A GREAT FIT

To thrive in this role, candidates should meet the following criteria:

  • A bachelor’s degree in Human Resources, Labor Law, Business Administration or a related field.
  • At least three years of experience in a human resources function with a focus on documentation, compliance or operations within the Netherlands.
  • Strong grasp of Dutch labor law, statutory benefits and a working understanding of IND immigration procedures.
  • Proven experience working with external HR vendors such as payroll processors, tax consultants or immigration agencies.
  • Comfort with digital tools including HRIS platforms, Google Workspace, Notion and spreadsheets (Excel or Google Sheets).
  • Excellent verbal and written communication skills in English; fluency in Dutch is a major plus and may be required for external communication with Dutch authorities.
  • Strong organizational and time-management skills with a proactive, independent approach.
  • A team-first mentality combined with the ability to take initiative and solve problems resourcefully.
